A Fee-Only, Comprehensive Wealth Management Firm is actively seeking an experienced Client Operations Specialist with a passion for serving clients to provide a high caliber of service to clients. Responsibilities
Client Service
- Prepares and processes paperwork to open new accounts and initiate account transfers.
- Proactively engage clients with obtaining paperwork (hard copy or digital) as needed.
- Manages transfer processes and coordinates client onboarding and off boarding.
- Responds to client service requests and processes related service paperwork.
- Ensures all submitted paperwork is fully completed, accurate, and “in good order.”
- Serves as Custodian (Schwab) liaison by coordinating all related questions and actions.
- Debriefs client cases with advisors and coordinates trade instructions to the Head Trader.
- Prepares client summaries and updates as needed for client review meetings.
- Records all client service tasks and notes in CRM (Redtail) to ensure all actions are processed timely and accurately, ensuring all appropriate steps are taken and nothing is overlooked.
Investment Operations
- Manages cash reserves in the trading platform for all client money movements.
- Oversee and manage process and paperwork for alternative investment distributions, new purchases and sales.
- Assists with the trading platform, serving as a critical back-up for these functions in the absence of the Head Trader or Portfolio Manager.
- Prepares performance reports and Custodian reports for clients and advisors as needed.
Project Management
- Coordinates the scope, timeline and resources for the successful implementation of key projects, including but not limited to the development and documentation of the firm’s client and operational processes and workflows, etc.
- Build and refine client service company workflows and processes to improve efficiency.
- Regularly reviews, audits and refines current operational processes and systems.
Requirements
- Undergraduate degree required.
- Minimum of 5 years of experience serving in a client service and/or operations capacity within Wealth Management.
- Prior experience working with a Custodian is required, Charles Schwab preferred.
- Demonstrates excellent organizational, problem solving and communication skills in a highly collaborative team environment.
- Detail-oriented with strong prioritization and project management skills to drive progress of firm projects and workflows.
- Ability to handle multiple projects and tasks simultaneously while maintaining quality work.
- Strong technology skills, including MS Office (Word/Excel) and working knowledge of CRM (Redtail) and other advisor-based technology (Envestnet/ Tamarac).
- Highly adaptive and responsive to changing needs and deadlines.
- Ability to establish structures, checks-and-balances, and maintain effective follow-up systems.
